The simple solution is to build a group for each territory and assign those to your customer and prospect records. But what do you do when you have multiple departments or groups that have overlapping territories such as service, inside sales and outside sales? In this case, the number of groups required to lock down the security can grow rapidly.

The User Group Security program can create groups based on multiple sales rep combinations. Customer records are automatically assigned to these groups, thereby making sure that a rep only sees the records that specifically belong to him/her.
You simply set up a GoldMine field for each each territory and populate that field with the user's full name. This can be done manually, by import or by lookup.ini field automation. The program is configured with a simple INI file where you can choose quite a few options to customize the behavior of the program. Once that is set, simply schedule the program to run on a regular basis to maintain your security.
GoldMine User Groups are automatically created and deleted as needed based on your current GoldMine database records. So, if you create a new rep or remove one, UGS will respond and re-align your group security.
Once the necessary groups are ready, the User Groups Security program will update the appropriate records in your database, automatically setting the curtaining.
In addition, lookup.ini settings are automatically generated so that customers and prospects will be updated in real time if you change a rep or add a new record. You don't have to know anything about lookup.ini for this to work. Also, UGS keeps the lookup.ini clean by removing items that are no longer needed in the file.
